Payroll Administrative Assistant

Overview & Overall Responsibility 

The Payroll Administrative Assistant is responsible for supporting payroll operations. They will be responsible for processing payroll, answering phones, and maintaining the processing room. They will also assist with payroll reports, payroll inquiries, and other administrative tasks related to payroll processing. 

Essential Duties & Responsibilities  

 

Front Desk 

    • Answer direct phone calls using a multi-line phone system 
    • Maintain office supplies inventory and place orders when necessary 
    • Provide excellent customer service to clients and visitors  
    • Perform general clerical duties such as photocopying, scanning, data entry, and shipping 
    • Entering payroll information accurately both physically and electronically 
    • Handle sensitive and confidential information with discretion and professionalism 

 

Payroll Administration 

    • Prepare and process payroll for assigned companies for regular and off-cycle processing 
    • Manage the processing room to ensure all payrolls are distributed appropriately 
    • Collect timesheets from clients via phone, email, and payroll system 
    • Accurately enter timesheets and process hours and payments to Clients 
    • Process payroll deductions including but not limited to child support orders, garnishments, bankruptcies, levies, retirement contributions, insurance premiums, and advances on wages 
    • Review payroll registers for accuracy 
    • Update Client payroll database regularly 
    • Reconcile timecard entries and assist with leave balance inquiries, corrections, or calculations 
    • Maintain client company profiles in Execupay
    • All other duties as assigned

Qualifications 

 

Experience, Certifications/License, and Requirements 

    • Proficiency with MS Office applications 
    • Ability to consistently meet deadlines 
    • Ability to maintain confidentiality and exercise discretion 
    • Bilingual in English and Spanish is preferred 
    • Excellent organizational and time management skills. 
    • Ability to communicate effectively and work under supervision.
